This Privacy Policy explains how Valiant MedTrack, LLC (“Valiant MedTrack,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you visit our website, contact us, sign up, or use the Valiant MedTrack application (together, the “Services”). By using the Services, you agree to the practices described here.
1. Who we are

2. Information we collect
We collect the following categories of information:
Information you provide
- Account & contact details — name, email address, phone number, business/ranch name, and role.
- Onboarding & support messages — anything you enter in our forms or send to us.
- Billing information — subscription plan and payment details. Card payments are processed by our payment provider; we do not store full card numbers on our servers.
- Content you enter into the app — horse records, health and treatment information, documents, photos, invoices, and similar operational data you choose to store.
Information collected automatically
- Usage & device data — pages viewed, features used, approximate location derived from IP address, browser type, device type, and timestamps.
- Cookies & similar technologies — used to keep you signed in, remember preferences, and understand how the Services are used. See “Cookies” below.
3. How we use information
- Provide, operate, secure, and improve the Services.
- Create and manage your account and process subscriptions and payments.
- Send service messages, reminders, and important notices you have opted into.
- Respond to your questions and provide support.
- Monitor for fraud, abuse, and security incidents, and comply with legal obligations.
- Analyze usage to understand and improve features and performance.
4. How we share information
We do not sell your personal information. We share information only as needed to run the Services, with service providers who are contractually required to protect it. These include:

5. Data isolation between customers
Your data is kept logically separated from other customers’ data. Access is restricted to your authorized users and to our personnel only as needed to operate and support the Services.
6. Data retention
We keep personal information for as long as your account is active or as needed to provide the Services. When you close your account, we delete or de-identify your data after a short grace period, except where we must retain certain records (for example, financial and tax records) for a legally required period. You can request export or deletion of your data as described below.
7. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consent. Residents of the EU/UK (GDPR) and California (CCPA/CPRA), among others, have specific rights, including the right not to receive discriminatory treatment for exercising them.
- Access & export — request a copy of your data, or export it from within the app.
- Correction — update inaccurate information.
- Deletion — request deletion of your account and data, subject to legal exceptions.
- Email opt-out — unsubscribe using the link in any marketing or reminder email.

8. Cookies
We use essential cookies to keep you signed in and to remember your preferences, and we may use analytics cookies to understand usage. You can control cookies through your browser settings; blocking some cookies may affect how the Services work.

We use technical and organizational safeguards — including encryption in transit, access controls, and activity logging — to protect your information. No method of transmission or storage is 100% secure, but we work to protect your data and to notify you and the authorities of significant incidents as required by law.
10. International data transfers
We operate in the United States, and our service providers may process data in the U.S. and other countries. Where required, we use appropriate safeguards for international transfers of personal information.
11. Children’s privacy
The Services are intended for businesses and adults. They are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

Our website and app may link to third-party sites and services. Their privacy practices are governed by their own policies, not this one.

We may update this Policy from time to time. When we make material changes, we will update the effective date above and, where appropriate, notify you. Your continued use of the Services after an update means you accept the revised Policy.
